Microsoft Forms for Image Submissions

Using Microsoft Forms to gather image submissions is a convenient way to collect visuals from your audience. Whether you're organizing a photo contest, receiving design proposals, or simply gathering images for a project, Microsoft Forms can help you streamline the process. Here's a step-by-step guide on how to do it:

Step 1: Access Microsoft Forms

  1. Open a web browser.

  2. Go to Microsoft Forms.

  3. Sign in with your SU account if you're not already logged in.

Step 2: Create a New Group Form

  1. Scroll down to My Groups. Select the SharePoint site that you want to store all submissions.

  2. Click the "New Group Form" button to create a new form.

  3. Give your form a title and description to explain the purpose of the form. Do so by clicking on the “Untitled Form“ text in the middle of the screen, above the “+ Add new“ button.

Step 3: Add a Question for Image Submission

  1. Click the "+ Add new" button.

  2. Choose "File upload" from the list of question types, you may need to click the drop-down arrow at the end of the list to see this option.

  3. Configure the settings for this question:

    • Question: Provide clear instructions for users on what kind of images you're looking for.

    • File number limit: Set how many files the users can submit, up to 10.

    • Maximum file size: Set a limit for the file size, if necessary.

    • Required: Decide whether users must submit an image to proceed.

    • Click the “…“ and select “File type“, uncheck all options except for “Image”.

Step 4: Customize Your Form

You can further customize your form by adding more questions or tweaking the settings, such as controlling who can respond, enabling notifications, or setting up start and end dates for submissions. These options are available by click the “…“ in the top right.

Step 5: Share Your Form

  1. Once your form is ready, click the "Collect responses" button in the upper right corner.

  2. Choose how you want to share the form. You can create a link to share via email or social media, embed the form in a webpage, or generate a QR code.

  3. You can also choose to allow users to submit only one response or multiple responses.

  4. Make sure “Record name” is checked if you want to be able to easily track names with images.

Step 6: Monitor Submissions

You can track image submissions in real-time by clicking the "Responses" tab at the top of your form. You'll see a summary of responses, and you can click on individual responses to view and download the images.

To see all image submissions in one spot, do the following:

  1. While viewing your Responses, click “More Details“ below the question you created for submitting images.

  2. Click “View in Folder”

You will now be in the folder on the associated SharePoint in which all image submissions are stored. Each filename should end with the participant's name, assuming the “Record name“ option was checked when sharing the form.

Step 7: Analyze and Download Submissions

You can also export the responses to a Microsoft Excel file for further analysis. To do this:

  1. Click the "Open in Excel" button under the "Responses" tab.

  2. Microsoft Excel will open with your form responses, including links to the uploaded images.

Step 8: Close the Form

Once you've received all the submissions you need, you can close the form to stop accepting new responses. To do this:

  1. Go to your form.

  2. Click the "..." (more options) next to your form title.

  3. Select "Settings."

  4. Under "Form settings," toggle off "Accept responses."
