Summary

Seattle University has provided a “Report Message” button to allow all users to report both phishing and spam email to both the Seattle University ITS Cybersecurity team, as well as to Microsoft. 

Step-by-step

Location of the button:

The “Report Message” button can be found in two places:

On the ribbon of any inbox in your Outlook program:

OR On the ribbon of any email you have opened:

To report a message from your Inbox, make sure you have the message you want to report highlighted in the inbox before proceeding.  To report a message from an open email message, simply follow the instructions using the button on your open message.

 Instructions to Report Phishing:

  1. Click on the “Report Message” button. When you click on the button you will be presented with a dropdown menu.  Select “Phishing.”

  2. When you select “Phishing” you will see a screen confirming you wish to report the phishing email:

  3. Select “Report” to report the email.

  4. When you choose to “Report” the phishing email, you may get a message asking, “Do you want to send a copy of this message to Microsoft to help the research and improvement of email protection technologies?” You will also be given the option for “Don’t show me this message again.”

    We encourage you to click on the “Report” button to send the message to Microsoft.  By selecting this option, you are helping to ensure that this email is analyzed by Microsoft, so that they might provide protection to email users around the world.

    If you don’t want to be asked about this in the future, please check the box in front of “Don’t show me this message again.” 
    NOTE:  If you select the wrong option, or want to see the message again, you can change this setting by clicking on the “Report Message” button and selecting “Options.”

    From here you’ll be given an option to change your selection:

    Remember to “Save” your selection.

  5. When you’ve clicked on “Report,” if you have the email open, you might get a message stating "This message has been marked as Phishing and will be moved to the Deleted Items folder". Click on “Dismiss this message.”

  6. You have now reported phishing. 
    NOTE: When you report phishing, the email is sent to Microsoft for analysis as well as to the Seattle University ITS Cybersecurity team.  Security professionals in both areas analyze the email, and then take steps to protect email users from future phishing similar to this email.

Reporting Spam:

The procedure to report spam to Microsoft and the Seattle University ITS Cybersecurity team is the same as above for Phishing, except for one difference: 

When you click on the Report Message button, you will need to select “Junk.” 

After selecting and reporting “Junk,” the message will be sent off for analysis.  But, rather than going into your Deleted Items box, the message will be sent to your “Junk E-Mail” folder.
