Power BI Access Ticket Responses

Steps

  1. If it is unclear what report they need access to, ask for more information using Response A- Request More Information.

  1. If the report is NOT in the BI_Academic_DataAccess1 bucket (list of reports here) or a finance report:

    1. Find the report in InformSU, click on the three dots next to the report name, and click “Manage Permissions.”

    2. Check that they don’t already have access (their email will be listed under the “Direct Access” tab).

    3. If they do already have access, use Response B- To direct someone to the reports they have access to

    4. If they don’t already have access, add them using the “+ Add User” Button at the top. Uncheck the boxes for sharing the report and using the dataset.

    5. If they requested access from Power BI (the ticket came from the no-reply email) add Response C- Access granted in Power BI to the email notification box. Add a note to the Jira ticket that access was granted in the Power BI app.

    6. If the ticket didn’t come from the no-reply email, respond to the ticket in Jira using Response D- Access granted Jira

  2. If the report is in the BI_Academic_DataAccess1 bucket:

    1. Check to make sure they meet the requirements for access to student reporting (documented here)

    2. If they do not meet the requirements for access to student data ??

    3. If they do meet the requirements for access to student data, add them to the BI_Academic_DataAccess1 group

    4. If they requested access from Power BI (the ticket came from the no-reply email) add them as the reporter in the Jira ticket and remove the no-reply email. *make a note that they should email us or open a ticket next time? Respond using Response D- Access granted Jira

    5. If the ticket didn’t come from the no-reply email, respond to the ticket in Jira using Response D- Access granted Jira

  3. If the report is a finance (GL related) report:

    1. Either use the OH audit report “Security Role Search” to search the requesters name or check redshift prod org_hierarchy.dim_role_assignment_full to see if they have already access to what they are looking for:

      SELECT * FROM org_hierarchy.dim_role_assignment_full where email_address = {email}
    2. If they don’t have access to the activity that they want, reassign it to Matt Borda and put a note that they need access to a particular activity in the Org Hierarchy *or redirect to UBO/Mark Shoen?

    3. If they do have access to the activity that they want:

      1. They should already have access to the Activity Manager GL report.

      2. If they need access to another report, grant them access following the steps for non-student/non-finance reports, above.

      3. If they requested access from Power BI (the ticket came from the no-reply email) add Response C- Access granted in Power BI to the email notification box. Add a note to the Jira ticket that access was granted in the Power BI app.

      4. If the ticket didn’t come from the no-reply email, respond to the ticket in Jira using Response D- Access granted Jira

Could you be more specific with which reports or types of reports you need access to?  Do you know if it is on https://app.powerbi.com  or https://inform.seattleu.edu?

Response B- To direct someone to the reports they have access to

Hi {{issueReporter}} ,

You should already have access to [insert name of requested report(s)] here: [link]. You should also have access to a number of other InformSU reports that were determined by the Data Custodian for [data type] to be relevant to your job title/the report you requested access to.

If you ever want to get a list of reports that you have access to, you can go to this link or go to http://app.powerbi.com and to go to the browse tab (looks like a file folder) on the left-hand side of the Power BI home screen and open the “shared with me” list of reports. If you would like more information, please see this help document.

Response E- Finance Reports Access Granted

You should have access to the report here Activity Manager GL Report  Financial Manager GL Report.  Please make sure it works as expected, the reports with secure information are a bit more complicated.

Hope you are doing well. We have received your request for access to the Activity Manager GL Report, but you will need to have access to at least one activity in the Organizational Hierarchy before you can view the report. Access to financial reporting in InformSU is based on role assignment in the Organizational Hierarchy, which is managed by the University Budget Office and the Controller’s Office.

If you would like to be designated an Activity Financial Manager, please fill out the following form and email it to ubo@seattleu.edu: Change-to-Activity-Financial-Manager-Form.pdf (seattleu.edu)

If you require view-only access (“Other Financial User”) please fill out this form and email it to controller@seattleu.edu: Change-of-Established-Activity-Attributes-Form-Master-2017.09.27.pdf (seattleu.edu)
