Set up Microsoft Bookings Page for Multiple Internal Participants

This article is intended to show the steps for creating a Microsoft Bookings page with the ability for individuals (both internal and external) to book an appointment with multiple Seattle University users based on their collective availability.

Example use case: you and multiple team members need to provide appointment/meeting options to an external participant and would like to avoid coordinating internal schedules manually. Setting up a Bookings page using this guide would create a page where all of the included team members' availability is already taken into account in the provided appointment times, and the entire team will receive the meeting/event invitation rather than a single user being assigned to the booking.

Instructions

  1. This process will assume you are creating a new Bookings page for this purpose, but an existing page can be edited to include this functionality. Click Create booking page on https://outlook.office.com/bookings/homepage

  2. Configure the Bookings page according to your needs. A page name is required and you can optionally provide a business type, business hours, and staff members. You will also need to choose who is able to book appointments on this page from the following options:

    1. No self-service

    2. People in my organization

    3. Anyone (select this if you plan to send this Bookings link to external users)

  3. The Bookings page will be created and you will be notified when it is ready. Click Get started

  4.  If you didn’t add the necessary staff in a previous step, you can do so now by clicking the to the right of the Staff drop down. Add all internal users that may need to be included in bookings from this page. When adding members, please keep Events on Office calendar affect availability so that their calendar is taken into account when creating booking availability options.

  5. Add a service using the to the right of Services

    1. Configure the service as needed. A couple important notes below:

      1. Set the Maximum number of attendees at or above the intended maximum

      2. On the Assign staff tab, select Assign all of your selected staff for an appointment and select all staff members from the staff pool that need to be included in the booking.

      3. Click Save Changes

  6. Click Booking Page from the options on the left side of the screen to find the bookings link that can be shared. In the screenshot below I show this page as well as the Bookings page that the link leads to. Any bookings/meetings booked through that page will include ALL of the included staff members as participants.
