Public Sharing SharePoint Guidelines

These are the guidelines for the “Seattle University Public Sharing” SharePoint site.

This repository is not intended for internal-only, instructional, or confidential materials.

Before requesting access for public sharing, please ensure that guest access is not a viable alternative for your use case:Invite External/Guest Accounts to an SU SharePoint site

What Belongs in the Repository: 

  • This space is appropriate for videos such as: 

    • Public lectures, talks, or presentations 

    • Marketing or outreach videos 

    • Recorded panel discussions intended for public audiences 

    • Recruitment or informational content 

    • Program or departmental overview videos 

    • Event recordings that are explicitly public-facing 

  • Onboarding documents for users not yet expected to have an SUID

If you would be comfortable sharing the content on a public website or social media channel, it likely belongs here.
 

What Does Not Belong Here: 

The following content must not be stored in this repository: 

  • Videos such as:

    • Course recordings intended only for enrolled students 

    • Videos containing student education records 

    • Videos with personally identifiable information (PII) beyond what is appropriate for public release 

    • Internal meetings or operational recordings 

    • Content protected by licensing or copyright restrictions that prohibit public distribution

  • Draft, unreviewed, or experimental content not intended for public use

  • Anything containing FERPA protected information

Content Owners: 

  • Ensure content is appropriate for public viewing 

  • Verify no sensitive or restricted information is included 

  • Manage uploads, updates, and deletions 

  • Confirm rights to publicly distribute content

  • Within assigned folders, content owners have full autonomy

Publishing and Sharing Expectations 

  • Contents may be shared publicly via links or embedded on approved University platforms 

  • Content should reflect Seattle University values, mission, and professional standards 

  • Files should be clearly named 

  • Accessibility best practices (such as captions) are strongly encouraged
