How to Update a Directory Page

How to Update a Directory Page

Overview

The Marketing Communications Web Team welcomes qualified community members to submit updates on behalf of faculty and staff members to existing Faculty & Staff Directory pages. Qualified editors include department leadership and Web Marketing Leads, as these trusted subject matter experts are our best source of accurate information in their area of expertise.

Faculty and staff bios are considered Core content, and the Marketing Communications Web Team manages updates to this content. Bio update requests must be submitted through the Web Directory Update Form; however, submitting a request is easy.

Before sending a request, please see our guidance below.

CVs

A CV, or curriculum vitae, is required to be submitted in PDF format.

Accessible PDFs

Each PDF document must be scanned and corrected with an accessibility checker before submission through the Web Directory Update Form.

Remediation with Adobe Acrobat Pro

Adobe Acrobat Pro is an excellent tool for checking and resolving accessibility problems. The IT Service Desk offers Adobe Acrobat Pro for free on request. See Adobe Acrobat Pro Installation Instructions to get started.

PDFs are Webpages

Documents that are linked to the Seattle University website are webpages.

As a Seattle University web community member, it is critically important to provide accessible information to all people, including those using screen reading devices. Additionally, search engines, like Google, crawl our website regularly, including documents, and rate our credibility as an institution partly on our accessibility efforts.

Links in Your CV

Before submitting your CV, please check every link to make sure it works and points to the correct page.

  • Remove or update any broken links.

  • Avoid linking to pages that require special logins (unless absolutely necessary).

  • If a link is essential (e.g., a publication project), confirm it opens in a new browser window and loads fully.

A quick link check now saves a lot of back-and-forth later—and ensures your bio page reflects you at your best.

Images

Images for the Faculty & Staff Directory use a 8x10 aspect ratio, and must be a minimum of 1000 pixels wide.

Framing the Subject

The subject of the photo should be reasonably centered. Avoid tight crops where there is minimal space around the subject as this will result in an extreme close up. In other words, the subject should be set back in the frame enough to create space and uniformity with the other images in the Faculty & Staff Directory.

Cropping

The Web Team does not require you to crop your images. However, we do require the images be large enough for us to crop down to an 8x10. Smaller images are not usable, so please provide the largest (highest resolution) and best quality image as possible. The larger the image, the more we have to work with when cropping.

Photoshoots

Don’t have a professional photo? Seattle University periodically hosts on-campus head shot photoshoots with Seattle University photographers. Photoshoot announcement notifications are published in SU Today.

New Bio Requests

Privacy

For privacy reasons, we require that faculty and staff submit their directory requests when requesting a new bio to be added to the Seattle University Faculty & Staff Directory. This request provides the employee with the option to opt-out or limit information, such as email address, from being displayed on the website. It also requires employees to agree to be published in the directory.

Before making a new request, please check for your profile in the Faculty & Staff Directory.

Submit Request to the Faculty & Staff Directory

Now that you have read how to properly submit CVs and photos, please use the Web Directory Update Form to request directory updates.

While we do our best to work all tickets the same day, our current service level allows five business days for ticket resolution.
