Fax.Plus - General Usage Guide
If you are using Fax.Plus during the testing phase (Spring 2025): Please do not send/receive any PII during your testing. There are only two fax numbers in the account right now, and they are shared across multiple users. The users sharing a line with you will be able to see your sent/received faxes.
This article serves as a guide to navigating the Fax.Plus interface, menus, and settings. Please select the appropriate option from the drop-downs below.
Recommendations for users during Fax.Plus testing period (Spring 2025)
If you would like to disable notification emails for this trial period, you can do so in your account settings. I recommend doing this after you have a chance to see what those notifications are like. With many users sharing these test lines, I assume the notifications have the potential to become disruptive.
Click your initials in the upper right corner of the Fax.Plus portal, then click Manage Account > General > scroll down to Notifications > Click Edit > change the received and sent notifications to off.
If you would like to test receiving a fax in Fax.Plus you could send to your Fax.Plus number from your department’s existing fax machine, and vice versa for testing sending faxes from Fax.Plus.
The numbers in the account right now are temporary. Please don't permanently update any official fax communication contact details to these numbers.
Faxes tab
The first screen you see after logging into Fax.Plus is the Faxes tab, specifically the Inbox within that tab.
Inbox
Selecting from the available fax number inboxes
If you have been assigned multiple fax numbers, you can select a specific number’s inbox or view all of them in a unified inbox (this is the default behavior). Click the Fax number: drop-down to adjust which inbox you are viewing.
Open a faxed document
To view a faxed document simply click the underlined text next to the document thumbnail.
Document options
Click the document options icon to access the various actions that you can take on each document in the inbox.

Move to trash
Download
Mark as Unread
Modify Note: Modifies the text in the Note column. Fax.Plus recommends this as a way to organize/tag faxes within the mailbox.
Fax Status
Actions can be be applied to multiple documents by clicking the checkbox to above the first document in the inbox, then clicking the checkboxes to the left of each document that appears. The bulk selection options will also appear above the documents - Send to Trash, Mark as Read, Mark as Unread
Sent, Outbox, and Trash
The Faxes tab is also where you will find the Sent, Outbox, and Trash folders. These folders are also filtered according to the fax number you have selected in the Fax number: drop-down.
Search
The Search button (magnifying glass) is available in the Inbox, Sent, and Trash folders. Search options include setting a date range, filtering by status, and searching via keywords.

Sending a fax
To send a fax, click the Send Fax tab.
You can upload files to fax from various web storage services, or from your computer by clicking the drop-down next to Add File.
You can also create the document to send via fax right from the web portal using the drop-down next to Add Page. Use the Rich Text Editor to draft the contents of the fax, and the Cover Sheet Generator/Cover Sheet Gallery (to import previously created cover sheets) if you need to add a cover page.
Add the destination fax number to the To: field or select a contact using the Add from Contacts button to the right of the To: field.
By clicking the Settings menu in this interface (the gear/cog icon next to Send) you have various options:
Scheduled fax
Retry if failed
Fax to Human Operated Telefax
Email Recipients PDF of the fax (disabled in our instance due to HIPAA security controls)
Optimize Document for Text (on by default)
A note can be added to a fax prior to sending, the Add Note button is to the right of the Add from Contacts button. The note is stored in the Note column within the Sent Faxes tab.
Click Send when you are satisfied with the contents and settings for the fax.
Sending a fax when you are assigned multiple fax numbers
If you have been assigned multiple fax numbers you will find a drop-down on this page that allows you to specify which line to send the fax through.
Contacts Tab
Click the Contacts tab to manage your Fax.Plus contacts.
Fax.Plus maintains a knowledge-base with many topics related to this tab: Contacts – Help Center.

Create and edit personal contacts and contact groups
Block incoming faxes from anonymous senders
Share contacts/contact groups with other users on the Fax.Plus account
Import contacts
Add to contact block list
Delete contacts/groups
Settings Tab
This tab contains options that can be configured for your account. Some of the available options will be unavailable to you based on user access level and the advanced security controls that have been activated in the global Fax.Plus account settings to align with HIPAA compliance regulations.
My Info - name, email, phone, and profile image
My Fax - Fax Header, and file type
Email to Fax - these options have been disabled due to advanced security controls
Notifications - Configure email notifications for faxes sent and received by your number
