Temporary Cards - How to Issue and Print

Temporary Cards may be issued to students, faculty or staff who misplace their campus card. The temporary cards may only be used for 1 week and must be returned. Any SU community member may pick up a temporary card at SUpercopy during business hours (8am-4:30pm Mon-Fri in PAVL 010), or they can pick one up at Public Safety after business hours (CLMB Basement).

Replacement campus cards may be printed at Supercopy for a fee (about $25).

Instructions to Issue a Temporary Card

Temporary Cards do not have a Customer account associated with the card number in Transact (like every other credential we issue out of that system). This is because temporary cards are to be assigned to customers only temporarily, and if returned and cleared from a customer record, they may be re-used.

To issue a temporary card to a customer:

  1. Open Transact desktop and Query for the Customer requesting the temporary card (you will need their SU ID number).

  2. Click on the triple dot next to the Card Number(s) field in the Customer Detail screen.

3. Click the link to Assign Temporary Card

4. On the next screen, you may either select an Existing Temporary Card to issue, or you may enter in a New Temporary Card number (if you are picking the next card from a pre-printed stack). Make sure the Issue Number field is blank. Enter in Active Start/End Dates or Comments as needed.

 

5. You will be asked if this should be the primary card? Select Yes.

6. You will see the temporary card number listed with Yes next to it since it is the primary card on the customer account. Click Close and then OK to save and exit. When the person returns the temporary card, click the Unassign Temporary Card link in the same area you assigned the card.

You MUST unassign the card before printing a new campus ID card or the temporary card number will be imprinted on the new credential and it will NOT work once the temporary card has been unassigned. If this happens, make sure the Customer Number and Card Numbers match before printing a new ID. Any temporary card will start with 8888888xxx.

Instructions to Print or Re-Print a Temporary Card

To print a new Temporary card in InstantID:

  1. Open InstantID and navigate to the Temporary Card workflow (click the “+ Enrollment” option).

2. On the next screen, enter in the temporary card number to print or re-print into the ID Number field. it should start with 888888xxx. Note that the Track2 data and Credential Preview Image update with the number value in the ID Number field.

 

3. Print the credential onto a blank card template with swipe and chip embedded.

Feel free to add the new temporary card to the Test User 123456789 to make sure it will work before printing the rest of the order requested.

New temporary card numbers will be added to the Existing Card numbers list only after they have been assigned to a customer account and then unassigned again.
