Activity Item

This page goes over the Activity item on Etrieve forms.

Overview of the Activity Item

  • When you click on Activity, the middle panel will expand showing you:

    • Forms that you initiated and submitted, OR

    • Forms that you acted on because other users sent them your way

 

  • Each listed form as shown above, will contain:

    • The name of the form

    • The status of that form on the bottom of the item. There are two possible statuses:

      • “In Progress” - indicates that the form is waiting for someone else’s action

      • “Ended” - indicates that all steps for a form have been completed

         

  • When clicking on one of the forms in Activity, the right panel will expand showing that form as shown:

     

  • From here, you can review what was filled out in the form, but you will not be able to make any changes to the form. That is because:

    • The form ended, OR

    • The form is in progress, waiting for someone else’s action

Action Bar in Activity

There are few things you can do with a form in the Activity item from the action bar at the bottom:

 

  1. You can print or download the form for your own records:

     

  2. You can view any files/documents that were attached to the form (but you won’t be able to upload any new files):

     

  3. You can view the form’s action history (see next section for more info):

     

    There are two types of form history: “Package History” and “Audit History”. Details on both in the sections below.

Package History

Package History is where you can view workflow steps history of that form, from initial submission, all the way to the end of the workflow (or most recent step). Each step will have an exact date and time, and the name of the user who completed that step.

Audit History

  • Audit History is where you can view the change history of every fillable item in the form itself by clicking on “VIEW CHANGES”:

     

  • A purple info icon (“i”) will pop up next to every fillable item after clicking “VIEW CHANGES”:

     

  • If we click on any of the purple info icon (next to Date in this example), with exact date(s) and time(s) with the name of the user(s) who made the change(s):

     

  • To exit out of Audit History, click on “Close” on the blue banner on top of the page:
