Basic Guide to Outlook Calendar

Welcome to the Outlook help page! Here you can learn about:

  • Creating events in your calendar

  • Sharing a calendar with other users

  • Overlaying calendars

Creating an event

  1. Open the Outlook app or Log In to Outlook on the web using your Seattle University email and password.

  2. Click on the calendar icon on the left sidebar. Next, click New Event.

  3. Enter a subject, location, start time, and end time.

  4. If your event is on Zoom or Teams, invite coworkers by typing out their names in the Invite Attendees space.

  5. Select Save in the top left corner. Your event has now been uploaded to your calendar.

Overlaying calendars

  1. In Calendar, in the Navigation Pane, select the check box of another calendar that you want to view.

The calendar that you selected opens next to the calendar that is already displayed. Each successive calendar opens next to the one most recently opened.

  2. On the calendar tab, click View in Overlay Mode. That calendar is now in overlay mode with the one you opened first — usually your default calendar.

  3. To add another calendar to the overlay, repeat step 2.

  4. To remove a calendar from view, clear its check box in the Navigation Pane or click Close on the calendar tab.

Sharing your calendar

  1. Open the Outlook app or Log In to Outlook on the web using your Seattle University email and password.

  2. Click on the calendar icon on the left sidebar. Next, click Share.

  3. Type out the name of the person you would like to share your calendar with. Click the dropdown next to their name to change what kind of access they will get.

  4. Click Share. Your calendar has now been shared.
